Community Center GENERAL
RENTAL INFORMATION
General
Policy: The User acknowledges that
the User is reserving Waikiki Community Center (WCC) facilities for
use on the dates and times specified on Facilities Use Agreement and
for the specified usage.
The WCC will not rent the facilities to any other users after
such scheduled date(s) and time(s) is confirmed. The User agrees to pay the
stated fee for each scheduled date and time on the Agreement form,
whether or not the User conducts the function on the premises on all
scheduled dates and times.
A change in usage, dates or times must be made upon thirty
(30) days prior written notice to WCC.
The User
will observe applicable laws, ordinances, and regulations of the
State of Hawaii and City and County of Honolulu, and WCC’s policies
and procedures. The
User will inform and be responsible for the compliance by all
participants, guests and visitors with such laws, regulations,
ordinances and policies.
. WCC reserves
the right to immediately terminate use of WCC facilities if the
User, participants, guests or visitors violate any State, City and
County and WCC regulations.
The User
will pay, indemnify and hold Waikiki Community Center harmless from
all claims and demands for loss or damages arising from personal
injury, death or property damage resulting from or connected with
the User’s use of the facilities and the premises, and the
activities conducted on the facilities or the violation of any
applicable laws, ordinances, regulation or policies. The User will reimburse WCC
for all costs and expenses, including reasonable attorney’s fees
incurred in connection with the defense of any such
claims.
The User
will clean the facilities used and leave the premises in the
condition found. The
User understands that the Waikiki Community Center’s Resident
Manager will make the final decisions relating to set-up, cleaning,
and use of equipment and return of security deposit. The User shall be
responsible for and pay for the full cost of any repair or
replacement of equipment and/or facilities found missing or damaged
immediately after the User’s event. WCC shall not be responsible
for any property or equipment left after the termination date of
this Agreement.
Reservations: The community classrooms and
auditorium are available for use by community groups, non-profit
organizations, and individuals whenever these activities do not
interfere with the activities and programs of the WCC. Reservations for use must be
made prior to any activity and are based on availability and
on a first come, first full-payment basis. An application in the form
of a Use Agreement must be completed by the individual or
representative of the group before using the facility. Waikiki Community Center
reserves the right to cancel the reservation at any time and for any
reason without incurring any liability whatsoever in exercising the
right of cancellation.
Priority: Usage is generally based on
availability. Priority
is observed should requests for use come in the same time. The order listed
is:
- Programs
and activities of the Waikiki Community Center.
- Programs
and activities of tenant agencies in the Waikiki Community Center
facility.
- Programs
and activities of Waikiki based community
groups.
- Non-profit
community service agencies and groups.
- Individuals
for non-profit activities.
- Businesses
Hours of
Use: The facilities are available
for use from 8:00 a.m. through 9:30 p.m. The program or event must
end at 9:30 p.m. Users are allowed to
set-up one-half hour before and clean-up one-half hour after the
scheduled start and end times of the event. Gates are closed at 10:00
p.m.

The
facility is closed on most State and Federal holidays. Exceptions may be made with
the approval of the Executive Director or his/her
designee.
Parking: Parking on Waikiki Community
Center property is available on a first come, first serve basis in
designated parking stalls.
There are 30 parking stalls in the Ohua parking lot; 23
stalls in the Paoakalani lot; and 2 designated handicap stalls in
each lot. The user is
responsible for securing alternate parking sites when needed. For any questions about
parking, see someone in the Administration Office.
Waikiki
Community Center is not responsible for any damage or theft of
vehicles of the users’ or their guests while parked on WCC
property. Unauthorized
vehicles remaining on WCC property after 10:00 p.m. will be
towed.
Rental
Fees and Payment: All users are charged a
rental fee for use to help maintain the facilities, to cover the
cost of utilities and other expenses associated with such
usage. The current
Hawaii State sales tax rate will be applied to the rental fee. Rates below includes the Hawaii
State Tax.
Full
payment for the single event or first month’s multi-usage is due two
weeks prior to the event date or the initial class date. It includes the security
deposit and the rental fee for the facility and equipment. Monthly users will be billed
two weeks in advance of each subsequent month.

Security Deposit: A security deposit is
required for use of WCC facilities. The security deposit will be
refunded providing premises are returned to the original condition
and there is no damage to the facility and equipment after
use.

Chairs
& Tables Rental Fee: The side
chairs (100) in the auditorium are provided as part of the
auditorium rental fee.
Additional chairs (100 – folding, metal) are available at 50
cents each. Thirty (30)
luau tables (2’ x 8’) are available to use at $5.00
each.
Trash
Removal Fee: If you
do not remove your trash and opt to use the Center’s dumpster, the
following charges will be withheld from your security deposit.

Cancellation
Fee: A fee of $50.00 is charged
when the event is cancelled with less than 30 days notice
prior to the event.
Decorations: The user agrees to use the
wooden strips around the walls to put up decorations. Tape is not allowed on the
cement walls. Use of helium-filled balloons with strings or ribbon
is PROHIBITED in rooms with ceiling fans.
Smoking: The WCC complex is a
smoke-free environment.
Smoke and smoking is PROHIBITED through-out Waikiki Community
Center buildings and grounds.
Alcoholic
Beverages: Alcoholic beverages are
PROHIBITED on Waikiki Community Center
property.
GENERAL
AGREEMENTS FOR THE USE OF SPACE
The User
agrees to:

Assume
full cost of all damages incurred, whether accidental or
otherwise.
·
Exercise
reasonable care for the property and equipment and to exercise
safety and fire prevention techniques.
·
Release
the Waikiki Community Center from any damages incurred during the
use of these facilities and shall indemnify and hold the Waikiki
Community Center harmless.
·
Return
all furniture and equipment to the location in which they were
found. Tables and
chairs may not be removed from the Waikiki Community Center’s
premises by any group or individual. Instructions for clean-up
will come from the Caretaker/Manager.
·
Take
responsibility for clean-up and shall provide their own paper
towels, trash bags, etc.
·
Have all
trash removed by either removing it from the premise or utilizing
the Waikiki Community Center’s dumpster.
·
Provide
adult chaperones or advisors for youth groups using the
facility. There should
be one adult chaperone for each 20 non-adults (under 18 years
old).
·
Use the
wooden strips around the walls to put up decoration. Tapes are not allowed on the
cement walls
·
Have the
Waikiki Community Center’s Directors or representative inspect the
premises or any of the activities conducted thereon, at anytime, and
reserves the authority to cancel the event if not properly
chaperoned, or if unduly boisterous, or out of control, or if there
is failure to comply with any other of these
agreements.

Waikiki Community Center agrees to rent the
facilities indicated above on the dates specified to the user named
above (the “User”), on the condition that the User shall abide by
the policies and procedures outlined in this Facilities Use
Agreement and attached General Rental Information. The Agreement is not binding
unless it is approved and signed by an authorized employee of the
